Volunteer Opportunities

This page lists all volunteer opportunities and requirements within Portage Youth Softball. We have two main types of volunteering:
  1. Team Volunteers: This includes head coaches, assistant coaches, and parent helpers. There are several requirements for all Team Volunteers to complete before we can approve them to work with our athletes. Those requirements are listed below.
  2. Parent/Community Volunteers: This includes parents/guardians/community members that want to help with non-team activities, including concession stand, field maintenance, tournament operations, scoreboard/scorebook, fundraising, and more! Various sign up forms and information will be posted on this page when opportunities are made available.

Team Volunteers

In order to be a Team Volunteer and participate in team activities, including all games and practices, in any way, you must complete all of our volunteer requirements including:
  1. Submit an annual volunteer application
  2. Request a background check
  3. Complete an online concussion education course

Parent/Community Volunteers

We expect all families to work a minimum of two (2) volunteer shifts per registered athlete each year. You can certainly volunteer more if you are willing and able to. While this is not a requirement for the 2022 season, we will be tracking volunteer activity and may make it a requirement in future seasons if we cannot rely on the honor system to fill our volunteer shifts.

Current parent/community volunteer opportunities include:

Additional information is available on the sign up form. Please fully read all information on the sign up form or review it below prior to signing up for any shifts.
Concession Stand Information
For the 2022 season, we expect parents/families of each registered PYS athlete to volunteer for at least two (2) volunteer shifts during the course of the year. You are more than welcome to sign up for additional slots throughout the year if you are able to help more.
A variety of volunteer opportunities for parents/families are available and include:
  • Regular Season Concession Stand (this sign up form)
  • PYS Summer Tournament (July 22-24, 2022)
    • Concession Stand
    • Check-In & T-Shirt Distribution
    • Scoreboard
    • Scorebook
    • Field Maintenance
    • Grill Master
    • Possibly More!
  • Field Maintenance Days (typically in fall)
  • Other Fundraising Events
  • Other Events (varies from year to year)
This sign up form is only for the regular summer season concession stand. A separate sign up will be posted for all tournament shifts.
In 2021, we upgraded our concession stand to use a point-of-sale (POS) system (i.e. cash register). We will be using this for our regular season concession stand as well starting this year. Anyone working the concession stand needs to be comfortable using technology. We will have help sheets available and will send them out prior to your shift so you can review in advance. All sales must go through the POS, even if they are only cash sales. Credit/debit cards are also accepted via the POS. Using the POS helps us track inventory, determine sales and profits, and verify that money is not being stolen. Additionally, all concession stand volunteers need to be at least 16 years old. We will allow up to two (2) people to sign up for each shift. There is limited space in the concession stand so children are not allowed in the concession stand.
Game (and concession stand) schedules are always subject to change. Always check our website calendar the day of your shift(s) to make sure at least one of the home games is still scheduled. We will attempt to update the concession stand schedule as well, but may not be able to in the case of last minute cancellations.
On days with multiple games on the same field, shifts may be split to create multiple shorter shifts. If you wish to work the entire night, please sign up for each shift. Please remain in the concession stand until the volunteers for the next shift arrive and are ready to take over. The concession stand should not shut down between shifts.
Additional games may be added throughout the season and those shifts will be made available as games are scheduled. Please check back often to check for new slots that are available.
Shift start times are firm. Please make sure you are ready to start no later than your shift's start time. The end time of the last shift for each day is tentative and may actually be earlier or later than listed. The concession stand should remain open until all games are complete and a majority of players have left the facility (typically 15-20 minutes after game ends). Players from both teams will often want to purchase snacks and/or drinks after their game so we need to be open for them to make purchases.
Thanks for your time and effort in keeping our organization running smoothly! All proceeds from the concession stand benefit all of PYS so your time is directly helping everyone in our organization!
